RBA Academy Program Guidance

This guide lays out best practices for setting up your staff/supplier/vendor training programs through the platform.

Roles

There are 3 main user types within the RBA Academy. All user types can complete training courses.

  • Power Users
    • Power User accounts are typically provided to staff at RBA or initiative member companies. Through these accounts, you can create users and managers, assign courses/learning plans, run reports and send newsletters.
    • As standard, Power Users have access to all branches under the member parent branch and have access to all courses related to their membership type, plus any custom courses created for their program.
  • Managers
    • Manager accounts are typically provided to an individual supplier or factory user so that they can monitor the training progress of users in their company. Managers can view users and run reports. It is recommended that Managers do not manage more than 15 user accounts.
    • As standard, Managers have access to all courses related to their member’s membership type, plus any custom courses created for their program.

Users

  • Users can complete training courses on the Academy.
  • As standard, Users have access to all courses related to their member’s membership type, plus any custom courses created for their program.

Suggested Approach

Step 1: Establish Branches

  • Branches are used to organize user accounts into a hierarchy. For most companies, branches are set up as follows:
    • Company – parent branch
    • Staff (including Power Users and Users) – sub-branch
    • Vendor (including Managers and Users) – sub-branch
    • Factory (including Managers and Users) – sub-branch

The best configuration of branches depends on how you plan to implement training. The most common ways training is implemented include:

  • Assignment of specific training to an individual user – in this case, no additional branches are needed, and training can be assigned to individual user accounts.
  • Assignment of specific training to a sub-branch (e.g., staff, vendors or factories) – in this case, no additional branches are needed, and training can be assigned to branches.
  • Assignment of specific training to a company (with multiple user accounts), country, or initiative – in this case, additional branches may be needed, and training should be assigned to these branches.

Step 2: Create Users & Managers

Create your users in the appropriate branch. When you create a user, you can choose whether the system sends the default welcome email. If you do not select this option, share the system URL, username, and password with the user directly.

You can also convert a user into a Manager and assign them users to manage. Managers will see a ‘My Team’ item in the User Menu.

You can send a newsletter to users or branches to inform them they have been invited to your training program.

If you want to create a new Power User, create users in bulk or create a custom welcome email for all users, please complete the applicable tab(s) in this file and email your request to training@responsiblebusiness.org.

Step 3: Enroll Users in Courses/Learning Plans

Assign courses/learning plans to your individual users or branches. You can send a newsletter to users or branches to inform them that you have enrolled them in new training.

If you would like to create an enrollment rule so that courses are assigned automatically to all users in a branch, please complete the applicable tab(s) in this file and email your request to training@responsiblebusiness.org.

Step 4: Run Reports and Follow Up

Run reports to track the progress of your training. You can send a newsletter to users or branches to inform them they have courses they need to complete. You can also go to a specific course in the Course Management area, filter users who have not completed the course and send them an email reminder.
